Filtering Metadata Fields in a Form

Steps:

  1. Open the Metadata form for a folder or file.
  2. Use the filter options at the top to narrow down the metadata fields.
  3. Apply the filter to display only the relevant fields in the form.

Assigning Metadata to Multiple Files

Steps:

  1. Select multiple files in the DM Explorer.
  2. Right-click the files and choose Show Profile or use the Open > Show Profile option from the top menu.
  3. The metadata form will open for all selected files.
  4. Fill in the required fields and click Save to apply the metadata to all files.

Applying Metadata to a Folder During Creation

Steps:

  1. When creating a new folder, the Metadata form will automatically open.
  2. Fill in the required metadata fields.
  3. Click Save to apply the metadata to the folder.

Deleting Metadata from a Document

Steps:

  1. Right-click the document or folder and select Show Profile, or click Open > Show Profile from the top menu.
  2. In the Metadata tab, remove the data from the metadata fields.
  3. Click Save to delete the metadata.

Adding Metadata to a Folder or File

Steps:

  1. Open the Properties window for the folder or file.
  2. Go to the Metadata tab.
  3. Click the Add button to add a new metadata field.
  4. Select the appropriate Project, Form, Fields, and Type.
  5. Click Save to apply the metadata to the folder or file.

Editing Metadata for a Document

Steps:

  1. Right-click the document or folder and select Show Profile, or click Open > Show Profile from the top menu.
  2. In the Metadata tab, edit the relevant metadata fields.
  3. Click Save to apply the changes.

Using the "Inherit from Parent" Option for Metadata

Steps:

  1. Open the Properties window for the folder.
  2. Go to the Metadata tab.
  3. Ensure the Inherit from Parent option is enabled to inherit metadata settings from the parent folder.
  4. To customize metadata, disable the Inherit from Parent option and define your own metadata.

Triggering a Workflow Based on Metadata

Steps:

  1. When adding a file to the repository, choose the relevant metadata fields.
  2. Define a workflow to trigger based on specific metadata conditions.
  3. The workflow will automatically trigger when the file is added with the specified metadata.

Viewing Metadata for a Folder or File

Steps:

  1. Right-click the folder or file and select Show Profile, or click Open > Show Profile from the top menu.
  2. The metadata for the selected folder or file will be displayed in the Metadata tab.
